Exhibitors Guide

False Contractors 

It is highly possible that as exhibitors, you would be approached by companies that are not associated with the exhibition. If the company is not listed in this Manual, they are not an official contractor. 

If you are approached by a company claiming to be directly associated with or offering services for the show and they are not listed in this Manual, please take the time to let the Show Director know. This is particularly important where companies are offering data or contacts lists for sale – we do not sell our data, so any offer can categorically be deemed not genuine and should be approached with caution.

SERV International Exhibitions LLC is the VisionPlus EXPO 2023 official contractor. They have a wide array of products that they provide to enhance your stand, be it a Shell Scheme or a Space-only stand.

Our Audio-visual contractors offer competitive rates for microphone headsets, plasma screens, computers, flat-screen monitors, video players and more.

Noise on your Stand 

If any noise levels are raised to an unacceptable level for neighbouring exhibitors and visitors during the event, the Organisers reserve the right to prevent the music or machinery from being used. All speakers must face into your stand (as opposed to facing out to other stands). 

Carpet 

All Shell Scheme sites are carpeted in Green carpet. It is possible to change your default Shell Scheme carpet to another colour, or type of flooring, at an added cost. 

Orders for carpets can be submitted on the VisionPlus EXPO Exhibitor Portal. 

Space-only sites are not carpeted – exhibitors must provide their own floor covering. 

Exhibitors with adjoining blocks of stands will not be permitted to place their own carpet in the gangways unless agreed with the Organisers before the exhibition. 

Orders received after 1st October will be subject to a surcharge.

Carpet tape 

All carpet tape must be removed and any charges for the removal of carpet tape left on the floor at the end of the breakdown will be passed directly to exhibitors. The charge will be 300 AED per meter. You must ensure your contractor is aware of this ruling.

Even if the carpet is ordered from the VisionPlus EXPO contractor, it is still the exhibitor’s responsibility to ensure the carpet tape is removed at the end of the exhibition.

Stand Catering  

On-stand hospitality is a great way to enhance your exhibition presence.

Any client who wishes to offer food or beverages (including non-alcoholic beverages) may only offer products purchased via Festival Arena, the official caterers with sole rights.

Cleaning & Waste  

To book complete cleaning of your stand, or for rubbish skip rental, complete the order form below before 01st October. 

Stand Cleaning requests can be submitted on the VisionPlus EXPO Exhibitor Portal.

Electrics   

Shell Scheme sites include:

• 500 KV to be confirmed
• 1 three-pin socket
• 3 spotlights.

Space-only stands do not include any electrics; remember to ask for the electrical grid to let the contractors know where you would like your electrics.

PLEASE NOTE that power to stands will be switched off approximately half an hour after the show closes on Thursday evening. It cannot be switched back on after this so please ensure everything is done promptly (e.g. cashing up tills, lowering equipment, etc.).

Exhibitor’s App        

The Exhibitor’s App is a tool to capture your visitors’ data using your mobile phones. It would allow you to scan the QR code of the visitor’s badge in your booth to list the user’s data as a Potential.  This data would be exportable into a spreadsheet.

Freight & On-site Logistics    

The official Lifting Contractor appointed for the event is Al Naboodah Logistics, which are the only company permitted to operate forklift trucks, mechanical, other cargo-handling equipment and cranes in the halls and outside in the loading areas. 

Al Naboodah Logistics will be happy to provide you with detailed quotations and operational advice on their services like shipping to/from Dubai, Customs clearance, courier receiving services, handling goods to/from the Venue, and forklift loading/unloading. Graphics     

Our contractors would be supplying high-quality graphics for the show. 

For graphic displays, posters and additional signwriting for your stand, submit your requirements on the VisionPlus EXPO Exhibitor Portal. 

Order before 01st October to avoid surcharges; your artwork must be submitted no later than 05th October to ensure it is produced in good time.

Internet      

If the success of your stand depends in any way on an internet connection (taking payments, recording leads, etc.), we strongly recommend you order your own cabled internet connection as both Wi-Fi and the cellular signal will be unreliable with so many visitors in the halls. 

Festival Arena can provide wired Internet packages on a price-by-connection-speed basis. 

The deadline for orders (with payment) is  01st October.

Manpower and Stand Hosts/Hostesses      

The official Manpower agency appointed for the event is Glamour Queen. They can arrange for any requirement of models, emcees, hosts/hostesses or supervisors that you may require at your booth.  Ask for options available so you can make an informed decision in advance.

Manpower resources are limited, and the availability of quality staff for late enquiries cannot be guaranteed. So we suggest that you connect with Glamour Queen at the earliest and confirm your bookings.

Finalise your selections and confirm your bookings before 1st October to avoid surcharges. Submit your requirements on the VisionPlus EXPO Exhibitor Portal.

Rigging       

Rigging is permitted at Festival Arena, subject to the approval of stand plans. 

To order rigging, you should book by 20 September by submitting your requirements on the VisionPlus EXPO Exhibitor Portal

Stand Fitting & Additional Extras       

SERV International Exhibitions LLC is the official furniture supplier. 

To order furniture submit your request on the VisionPlus EXPO Exhibitor Portal. 

You should place your order before 1st October to avoid surcharges.

Storage        

There are no facilities for the storage of literature, stock, exhibits, packing cases or boxes. 

All items must be stored within the confines of your stand. Spaces beneath raised seating and platforms and all cavities, including those between and behind stands, shall not be used for any purpose other than electrical or other service boxes, mains or stopcocks. They shall not be obstructed nor used for the storage of any materials. Fire regulations require that any items found outside your stand must be removed, as they are fire hazards.

Packing Cases/Empty Boxes 

All packing cases and materials must be removed from the exhibition halls as soon as possible. 

• Work areas should be maintained free from general waste and packaging materials which could hazard operatives;
• Packaging cases must not be allowed to obstruct gangways, passageways and fire exits;
• Nails or screws etc. must not be left protruding from any packing case or material.

The above applies to all waste that would pose a fire risk on-site.
